ExpatFriend vs Spanish Paperwork 馃槺馃嚜馃嚫

ExpatFriend has survived the pharmacy. The supermarket. The hotel. Even the garage.

But today...

THE PAPERWORK HAS ARRIVED. 馃搫馃搫馃搫

A form. A photocopy. An appointment. A document he didn't know existed. And somewhere in the building... a mysterious window number 7.

Today the goal isn't to understand the entire Spanish administrative system.

The goal is to know what to ask when you don't know what to do.

馃搫 The paperwork begins

Your infographic gives us the situation. Now we're going to transform it into a complete bureaucracy-survival lesson.

馃幆 Your bureaucracy survival mission

You need to be able to do five things:

馃搮 ASK ABOUT AN APPOINTMENT
馃搼 ASK FOR DOCUMENTS
✍️ UNDERSTAND INSTRUCTIONS
馃棧️ ASK FOR CLARIFICATION
馃Ь GET PROOF

You don't need to know the entire procedure before you enter the office. You need language that helps you discover the procedure.

馃懆‍馃彨 Manuel's Tip: learn this question first

If you remember only one sentence from this lesson, make it this one:

¿Qu茅 documentos necesito?
What documents do I need?

It is more useful than memorising a fixed list of documents, because requirements can depend on the procedure and the authority involved.

Then add:

¿Necesito el original o una copia?
Do I need the original or a copy?

馃搮 Mission 1 · The appointment

Quisiera pedir cita. I'd like to make an appointment.
¿Necesito cita previa? Do I need an appointment?
¿C贸mo puedo pedir cita? How can I make an appointment?
Tengo cita a las diez. I have an appointment at ten.

馃搨 Mission 2 · Enter the document jungle

You don't need to memorise every administrative term. These are useful words for understanding instructions:

documento — document formulario — form solicitud — application/request original — original copia — copy fotocopia — photocopy firma — signature justificante — proof/receipt certificado — certificate ventanilla — service window/counter cita previa — appointment tr谩mite — administrative procedure

Now the words have a purpose: they help you understand what someone is asking you to do.

⚙️ Six verbs that run the paperwork universe

RELLENAR to fill in

Rellene este formulario.

FIRMAR to sign

Firme aqu铆.

PRESENTAR to submit / present

Tiene que presentar la solicitud.

ENTREGAR to hand in

Entregue estos documentos.

ADJUNTAR to attach

Tiene que adjuntar una copia.

RECOGER to collect

Puede recogerlo ma帽ana.

馃懆‍馃彨 The phrase you'll hear everywhere: TIENE QUE...

In an office, this structure is extremely useful to recognise:

TIENE QUE + INFINITIVE
You have to + verb
Tiene que rellenar este formulario.
Tiene que firmar aqu铆.
Tiene que presentar una copia.
Tiene que esperar aqu铆.

You may not understand every word around it. But recognising tiene que... tells you that an instruction is coming.

馃槀 ExpatFriend meets “cita previa”

EXPATFRIEND:
Buenos d铆as. Quiero hacer este tr谩mite.
STAFF:
¿Tiene cita previa?
馃挱 Cita... date? Have I accidentally joined a dating agency?
EXPATFRIEND:
Eh... no. Estoy casado.
STAFF:
No, no. Una cita para hacer el tr谩mite.
馃挱 Ah. Appointment. Bureaucracy survives another day. 馃槀
EXPATFRIEND:
Entiendo. ¿C贸mo puedo pedir cita?

And suddenly the disaster becomes communication.

¿Cu谩nto tarda el tr谩mite? How long does the procedure take?
¿C贸mo sabr茅 si est谩 listo? How will I know when it's ready?

馃洘 The bureaucracy emergency kit

馃挱 ExpatFriend has obtained a document proving that he submitted other documents. He has reached Level 2 of Spanish bureaucracy. 馃弳

⚠️ Don't memorise a universal document list

Different administrative procedures can require different documents, forms, appointments and submission methods.

That's why this lesson focuses on language such as:

¿Qu茅 documentos necesito?
¿Necesito cita previa?
¿D贸nde tengo que presentarlo?
¿Falta alg煤n documento?

Those questions remain useful even when the procedure changes.

馃幃 Paperwork Survival Challenge

1. You don't know which documents are required.
2. You want to know if an appointment is necessary.
3. The employee says: “Tiene que firmar aqu铆.”
4. You don't understand an instruction.
5. You want proof that you submitted something.

馃搫 XP: 0   ·   馃敟 Streak: 0

馃 NeuroTip: don't learn “bureaucracy”. Learn moves.

The vocabulary can change from one procedure to another. Your communication moves remain surprisingly stable.

MOVE 1
Ask what you need.
MOVE 2
Ask where to go.
MOVE 3
Ask what to do.
MOVE 4
Ask what happens next.

That means your brain can reuse the same language in many different administrative situations.

馃弳 The 60-second Paperwork Mission

Imagine you're standing at the counter. You know nothing about the procedure.

Without looking back, ask:

馃搮 1. Do I need an appointment?

馃搼 2. What documents do I need?

馃搫 3. Original or copy?

✍️ 4. Where do I sign?

⏰ 5. How long does it take?

馃Ь 6. Can I have proof/receipt?

Possible answers:

¿Necesito cita previa?
¿Qu茅 documentos necesito?
¿Necesito el original o una copia?
¿D贸nde tengo que firmar?
¿Cu谩nto tarda el tr谩mite?
¿Me puede dar un justificante?
